Abstract

Monitoring and managing training and certification data are critical components of PT PLN Nusantara Power Services’ efforts to maintain and enhance employee capabilities. The management system encompasses various processes, such as receiving and verifying documents, scanning certificates, classifying documents by type and year, performing recapitulation into formats like Microsoft Excel DJK/Non-DJK, and finally, data entry into the Ellipse system and centralized storage. To ensure the accuracy, consistency, and completeness of the information, periodic monitoring practices are implemented, including checking certificate validity and verifying that resource codes comply with company standards. The digitalization of archives and a consistent folder structure accelerate administrative decision making, aid in the audit process, and facilitate tracing competency history. However, the simultaneous use of multiple storage media requires strict data governance to prevent duplication and inconsistency. Therefore, system integration and procedural standardization are recommended to improve operational efficiency and maintain the integrity of competency data, which serves as the foundation for Human Resources Development planning and organization policies.
